The Angel’s Envy Brand Home Event Planner reports to the Brand Home Activation Manager and is primarily responsible for effectively delivering first-class distillery events and brand experiences as aligned by annual budget. This role is accountable for achieving annual budget plans for events through organized sales, contract negotiation, and marketing activities. In addition, the role is accountable for the successful coordination of both internal and external events benefiting the brand and producing positive, lasting relationships with both clients and industry partners within the local environment.

RESPONSIBILITIES - WITH OUR CONSUMER AT THE HEART YOUR KEY FOCUS WILL BE

EVENTS:

  • Accountable and primarily responsible for collaborating with the Bar and Events Manager and Senior Sales & Marketing Manager to provide expert advice with respect to planning events and to facilitate first-class events in accordance with Angel’s Envy brand principles, including, but not limited to, a wide range of internal events, meetings, VIP/Trade/Media visits, and brand activations.
  • Successfully own and directly lead a full range of best-in-class events and experiences at the Angel’s Envy Distillery from concept to completion, including both in-person and virtual events.
  • Lead responsibility for negotiating all elements of client contracts on behalf of the Company, including but not limited to, room rentals, distillery experiences, food and beverage, retail, and event enhancements.
  • Lead responsibility for building and maintaining successful client and industry partner relationships.
  • Oversee client experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level guest experience and customer service throughout all phases.
  • Accountable for day-of event execution, serving as facility decision-maker during events outside of operating hours.
  • Manage internal Bacardi teams in addition to external clients and vendors, including but not limited to event staffing, training, and leading on-site teams for event execution.
  • Lead responsibility for planning and orchestrating all logistics for events, including contract negotiations on behalf of the Company, guest lists, venue preparation, tours, AV, security, catering, entertainment, transportation, equipment, decor, staffing and marketing materials.
  • Collaborate with Bar amd Events Manager and legal in resolving any breach of contract issues on behalf of the Company.
  • Lead all client communication upon initial inquiry, consulting and driving the event process on behalf of the customer while providing expertise, support and guidance for exceptional consumer experiences.
  • Lead responsibility for developing and implementing internal and external communications plans with the Bar and Events Manager to ensure events are executed properly for the client and without conflict to internal operations. This includes room setup and breakdown, cleaning schedules, catering & vendor schedules, rental deliveries, and security. 
  • Resolve issues, problems or complaints from the client or their guests in line with policy, interpreting policy and practices as needed, and even deviating from Company policies or procedures when necessary in the Planner’s best judgment, to maintain customer satisfaction, and doing so in a calm and positive manner.
  • Act as a liaison on behalf of the Company for events to provide informed guidance to external parties on safety, sustainability, and responsibility for Angel’s Envy policies.
  • Proactively develop and continuously improve event protocols and checklists with Events Team before, during, and after all events.
  • Collaborate with Bar and Events Manager and legal to ensure compliance with legal, insurance, and health and safety obligations in event execution.
  • Full responsibility for managing client event budgets from initial concepts to contract completion.
  • Resolving client payment issues on behalf of the Company.
  • Accountable for tracking all income and expenses per event as outlined in annual budget.
  • Consult with and provide critical guidance to other members of Events Management regarding best practices with respect to event planning and any need for changes with respect to event planning.

SALES & MARKETING

  • Responsible for meeting and exceeding annual operating budget, in collaboration with Bar and Events Manager, through organized sales, event and trade show attendance, prospecting, client site visits, networking, and marketing activities.
  • Develop comprehensive knowledge of Angel’s Envy products, distillery offerings, brand guidelines, and distillery events, including a list of local industry vendors and attractions.
  • Serve as the expert for all guest requests, collaborating with the tour, retail, and bar teams to deliver first-class customer experiences with exceptional customer service.
  • Determine price schedules in partnership with Bar and Event’s Manager; prepare proposals, negotiate pricing, secure new business, and monitor event budget to make informed adjustments as needed.
  • Drive incremental revenue through upsells to guests that enhance the customer experience.
  • Develop and conduct loyalty incentives, referral programs, and client appreciation on a monthly basis.
  • Analyze and produce reports on a quarterly and annual basis to identify missed opportunities and areas of improvement.
  • Collaborate on creative projects for event activations, sales, and marketing materials.
  • Liaise with clients and local businesses to identify needs and ensure customer satisfaction. 
  • Conduct market research and gather information within the industry for competitor analysis.
  • Maintain strong relationships with tourism vendors, transportation, catering, and hotel partners.
  • Develop new event ideas and formats for the general public.
  • Conduct pre- and post- event evaluations and report on outcomes.
  • Collaborate with Advocacy and Commercial teams to orchestrate VIP/Trade/Advocacy Visits.
  • Provide additional support as needed to Events Manager with changing needs, including but not limited to gift creation, marketing & sales content and materials, deliveries, brand activations, VIP groups and media visits, hosting VIP/Media guests, attending trainings, liaise with others at the Company as needed, update and manage software and files, prepare budgets and presentations, and other duties as needed or requested by Events Management.

EXTERNAL QUALIFICATIONSDEGREE, CERTIFICATION, ADDITIONAL TRAINING

  • BA or Post-secondary education in Event Management, Marketing, Communications, Business (OR sufficient experience)
  • 2+ years of event coordinating experience
