Role Purpose
With our consumer at the heart of everything we do, the Team Assistant plays a vital role in supporting senior leadership, enabling team collaboration, and driving internal communication across the Global Marketing function. This role ensures operational excellence and fosters a connected, informed, and empowered marketing community.
Key Responsibilities
Executive Support
- Provide high-level administrative support to the Marketing Operations Team
- Manage complex calendars, coordinate travel arrangements, schedule external meetings, and process expense reports.
Team Coordination & Engagement
- Organize and facilitate MSO Global Team meetings, including agenda development, venue coordination, and team-building activities.
- Support cross-functional collaboration and engagement across the One B Marketing community.
Internal Communication & Platform Management
- Coordinate and execute internal communication plans and content development plans with MSO team, including newsletters for entire MSO (BWG, Innovations, Shopper and SIA) and updates for One B Marketing.
- Maintain and enhance the SIA SharePoint and TEAM Library (or similar repositories), ensuring key documents, recordings, and resources are accessible and well-organized.
Budget & Vendor Management
- Create and track Purchase Orders (POs) and invoices for the SIA function and consolidates the budget reporting for SIA for broader MSO finance reporting purposes ensuring compliance with finance processes.
- Set up and manage new and preferred vendors in alignment with procurement and finance guidelines including MSA set up, leading counter signatures and signing new contracts.
- Manages the T&E reconciliation process for entire MSO, budget tracking and reporting, manages accurate P-card expenditures allocation.
Skills & Experience
- Marketing / Business Administration background / interest.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Teams) and iCloud tools.
- Strong oral and written communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience in agenda and project management.
- Curiosity and interest in data and analytics applied to marketing.
