RESPONSIBILITIES - WITH OUR PEOPLE AT THE HEART, YOUR KEY FOCUS WILL BE:
Office Coordinator:
- Answering the reception phone
- Answering the doorbell and greeting guests at head office, ensuring they sign in on the iPad.
- Booking couriers and accepting courier deliveries
- Ordering catering for office functions
- Managing office budgets and processing of invoices and Concur expenses.
- Certified Fire Warden and First Aider – Ensure emergency plans are in place, and up to date
- Ensure the office runs smoothly – Clean and tidy, ordering stock for bar & kitchen, service of machines.
- Leading the relationship with building management and building requests e.g., maintenance, swipe cards, security, car parking.
- Leading telecommunications – mobile service plans.
- Sustainability lead
- New starter office induction.
- Co-ordinate and pay for industry networking breakfasts & events
- Lead relationship with travel agency, and preferred airline & hotel suppliers.
- Coordinate the monthly Town Hall
- Organising internal events and training, and sourcing of venues – Christmas Party, EOFY, Melbourne Cup
- Coordination of Annual Achievement and Service Awards.
HR Support— Support the HR Manager, ANZ with the following:
- HR Coordination including compliance, reporting, working with BES to maintain the HRIS (Workday)
- Talent Acquisition Support: working with BES to ensure a smooth recruitment process including preparing meeting rooms for interviews, onboarding (incl organizing welcome packs), induction and offboarding.
- Manage and coordinate with tool of trade fleet partners both internally and externally (first point of contact for all fleet queries, manage POs & invoicing)
- Active involvement in a number of people initiatives and projects including Belonging, culture, recognition, engagement, wellbeing, diversity & inclusion, WH&S
- Ad hoc HR support & reporting
Administrative Support

SKILLS - THE SKILLS AND EXPERIENCE NEEDED TO CREATE YOUR LEGACY:
To be successful in this role you will have/be:
- 2-3 years’ experience in a generalist office/ administration role
- Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization
- Strong organizational and multitasking abilities, with exceptional attention to detail
- Proficient using HRIS, preferably Workday would be advantageous (or willingness to learn)
- Proficiency using the suite of Microsoft products, including Teams, Word, Excel, PowerPoint, Outlook, SharePoint and OneNote
- Digital curiosity and capability
- Uncompromised integrity, respect for confidentiality and discretion
- Strong initiative and can-do attitude
- Passion for thinking a little creatively and critically, balanced with the ability to get the basics done.
- RSA/ First Aid is a bonus
