YOUR OPPORTUNITY

Your opportunity
As the Office Manager, you will be responsible for managing the diary, travel and schedule for the East Europe Managing Director & support Cluster Leadership Team, as well as the day to day running of the Warsaw office. This role also has line management responsibilities for the reception and administration team.
In addition, this role will support the organisation and planning of events, meetings, conferences taking place in the organization.

About you
To be successful in this role you need to have the ability to multi-task in a fast-paced environment and work with limited supervision. Excellent organizational skills, able to handle multiple projects with a good attention to details.
Good communicator, with experience of internal communications and the ability to manage stakeholder relationship. A team player, with good interpersonal skills. Able to deal with confidential issues. Positive and fearless attitude.

RESPONSIBILITIES

  • Comprehensive office management (Cluster HUB for 29 markets) including process management for office vendors 
  • Create and ensure highest standard of visitor and employee ‘welcome experience’ for the Warsaw Office
  • Supervision over the Reception and Car fleet management
  • Personal assistant for Managing Director East Europe Cluster (calendar management, organization of travel, hotels, expense settlements, creating minutes during meetings, completing the masterplan and other documents on behalf of MD)
  • Supporting East Europe Leadership Team with their agendas, calendars, business cycle. Assist with general enquiries, as needed.
  • Suppliers' invoices processing starting from SC creation, through PO generation to GR confirmation (P90CLNT100 - SRM production system)
  • Corporate meetings/events arrangement and management (scope: from 2 up to 250 people; in external venues & at the office, Sales Conferences, Founder's Day Celebrations, Christmas party, Easter party, New Year’s Party etc.)
  • Other duties as assigned

SKILLS & EXPERIENCE

Skills:
  • Highly experienced in Administration and PA activities
  • Successful track record in office management
  • Proficient in the use of MS Office (Word, Excel, PowerPoint)
  • Polish and English fluent 
  • Experienced with corporate and matrix environment of working

  • Excellent oral and written communication skills, and the ability to deal with confidential issues
  • Team player, with good interpersonal skills
  • Excellent organizational skills, and the ability to handle multiple tasks and projects with meticulous attention to detail
  • Pro-active, agile and fast learner with a desire to continuously improve
  • Able to work independently and as part of a matrix organisation, whilst sharing the Bacardi Family culture pillar
  • Excellent business partnering skills and able to build lasting stakeholder relationships both internally at Bacardi and externally
