YOUR OPPORTUNITY

Your opportunity
This role is key to monitor Procure-To-Pay processes and tasks, in liaison with local users and Bacardi Enterprise Services (BES) and to ensure compliance with Bacardi standard policies. You will play a pivotal role in conducting PTP process reviews and data analysis, supporting PTP activities while driving process efficiencies and simplification with the final aim to maximise the company’s cash flow. 
Based in our Warsaw office, you will join a dynamic team of highly educated and experienced finance professionals, while connecting and working with the broader Bacardi finance team and other global teams.

About you
This role requires strong interpersonal skills to communicate and collaborate effectively with counterparts in various functions and global teams. Success in this position depends on your ability to operate and coordinate seamlessly within our matrix organization. A proactive attitude and a continuous improvement mindset will distinguish you as a key contributor to our team's success.

RESPONSIBILITIES

With our consumer at the heart your key focus will be
  • Ongoing monitoring of the Goods Receipt / Invoice Receipt aged items, in liaison with BES and in connection with the relevant Purchase Orders owners, for a timely treatment of special cases or exceptions
  • Main PTP escalation point for urgent cases when the business is impacted; activate a quick and efficient resolution plan to prevent supply chain disruption or penalty payments, acting as the point of contact between the business and BES
  • Review Urgent Payment requests and Exceptional Payment requests, ensure compliance with the Bacardi process and guidelines, challenge the request when relevant 
  • Monitor Non-PO invoices, provide support to BES on invoice coding
  • Provide support to BES on the invoice backlog monitoring by liaising with the stakeholders and push for action
  • Perform quarterly SOX controls (Approval matrix for Non-PO, WBS ownership, cost centers ownership, SRM approval matrix), liaise with Global SOX and ensure no-deficiency identified
  • Complete monthly tasks, reviews and analysis as relevant or upon request
  • Active involvement in ad-hoc projects and initiatives
  • Promote tasks and processes efficiency and simplification as well as cash-flow improvement
  • Support a strong internal control frame 
  • Build strong relationships with key internal (Bacardi) and external (auditors) business partners
  • Be a problem solver acting as business partner
  • Attend regular touchpoint meetings with key stakeholders and business partners (BES, markets, functions)
  • Communicate effectively with internal Bacardi clients as necessary to ensure the work is properly delivered.

SKILLS & EXPERIENCE

Skills - The skills and experience needed to create your legacy
  • Finance background with good accounting skills
  • Experience working across Procure-To-Pay processes, process focused with an understanding of end-to-end business processes and their financial impacts.
  • Process mindset with problem solving skills
  • Digitally savvy, with experience in ERP systems, SAP/SRM a plus, proficiency in MS Office tools
  • Strong interpersonal and communication skills to interact effectively with teams from different cultural backgrounds and languages, at ease to work in a matrix organisation and to communicate at all levels of the organisation
  • Excellent numerical and analytical skills
  • Previous experience in a similar role
  • Proficiency in English, French or other languages a plus
